Status fields and status templates

How to set up status fields, build status templates and assign them to your campaigns.

Written by Fabian Soldner

Status fields show where a lead stands in your process, from first contact through to close. LeadTable works on two levels: global status fields, and status templates that group those fields into sets and get assigned to campaigns.

Where to find status management

Open a campaign > Setup > Status template section > Status management

Status management opens as a dialog with two tabs: Status templates and Status fields.

Tab: Status templates

A status template bundles several status fields into one set that you assign to a campaign. The same template can be active in as many campaigns as you like.

Next to every template you’ll see how many campaigns it’s currently active in.

Create a new template: + Create new status template > give it a name > add status fields.

Edit a template: pencil icon > add, remove or rename status fields.
⚠️ Your changes hit every campaign using that template. The editor shows you how many are affected. If you only want the change in certain campaigns, use Save as copy instead.

Duplicate a template: copy icon. This creates an independent copy.

Delete a template: only possible once it isn’t assigned to any campaign.

Tab: Status fields

Status fields are account-wide. Any field you create is available in every campaign and every template.

For each status field the table shows the name, the colour, and how many templates, campaigns, leads and automations currently use it.

Create a status field: use + Add status field at the bottom of the tab. Pick a name and a colour, then save.

Edit a status field: pencil icon next to the field, then change the name or colour.

Merge status fields: arrows icon. Moves every lead out of this status into another one and removes the field. Handy for cleaning up near-duplicate statuses.

Delete a status field: only possible once no template, campaign or automation uses it any more.

Assigning a status template to a campaign

Campaign > Setup > Status template section

Pick the template you want from the Current status template dropdown. The status fields it contains show up straight away as coloured badges.

Edit status template takes you directly into edit mode for the current template.

Common questions

If I change a template, does that affect every campaign?

Yes. Changes to a template apply to every campaign using it, and the editor tells you how many that is. If you want the change in one specific campaign only, use Save as copy.

What happens to leads when I remove a status field from a template?

LeadTable asks you which other status the affected leads should move to. No lead is lost.

Can I update one template for all campaigns at once?

Yes. If all your campaigns use the same template, editing that one template is enough. The change applies to every campaign linked to it automatically.

Can one status field sit in several templates?

Yes. Because status fields exist account-wide, the same field (say "Untouched" or "Rejected") can be used across as many templates as you need.

A status is missing from a campaign. What now?

Check which status template the campaign is assigned to (Setup > Status template). The status you’re looking for may simply not be part of it.
