Creating an email automation

Step by step

  1. Pick a campaign and open email automation

    • In the campaign you want, click "Email automation".

    • Click "Create new automation".

  2. Name the automation:

    Give it a name that tells you what it does.

  3. Choose a trigger:

    Next you pick what sets the automation off:

    1. Status change:
      Whenever a lead moves from "starting status" to "target status", this email goes out.
      Example: whenever a lead is dragged from "Any (any status)" to "Rejected", send the rejection email.

    2. New lead:
      Whenever a new lead comes into the campaign, the notification email goes to the client.

    3. Lead deleted:
      Whenever a lead is deleted from the campaign, send an email.

    4. In status for:
      When a lead has sat in a given status for longer than "XX" seconds, minutes, hours or days, send an email.

  4. Set the sender email

  5. Choose the recipients

    • Decide who gets the email:

      • Your agency address

      • Team member addresses

      • Client addresses

      • The address of the lead that triggered the automation

    • You can also add addresses in Cc if you want. ✉️

  6. Write the subject line

    • Enter the subject of your email. 📬

  7. Write the email

    • Type your text into the editor. You can also drop in HTML if you want.

    • Use variables to personalise the email.

    • Vary the font size and use the usual formatting like bold and italics. ✍️

  8. Save and test the automation

    • Save the automation.

    • Test it by putting your own email address in as the recipient, so you know everything works as it should. ✔️
